Executive Assistant
Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO at Family Grounds, Inc. This role is essential in ensuring the smooth operation of the executive office and will involve managing schedules, coordinating projects, and facilitating communication across departments. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Duties
- Provide executive administrative support to the CEO, including managing calendars and scheduling appointments.
- Coordinate and organize meetings, including preparing agendas and taking minutes.
- Assist in project coordination by tracking progress and ensuring deadlines are met.
- Handle data entry tasks and maintain accurate records and files.
- Proofread documents for accuracy and clarity and professionalism before distribution.
- Act as the primary point of contact for internal and external communications.
- Screen, prioritize, and respond to emails and other communications on behalf of the owner.
- Utilize Google Suite effectively for document creation, communication, and collaboration.
- Conduct research on various topics as assigned, providing concise summaries and recommendations.
- Organize and maintain digital and physical files, ensuring easy retrieval and confidentiality.
- Manage travel arrangements and itineraries for the CEO as needed.
- Prepare agendas, gather necessary materials, and set up meeting logistics.
- Take minutes during meetings and ensure timely distribution to relevant parties.
- Follow up on action items and ensure deadlines are met.
- Serve as a liaison between the CEO and internal/external stakeholders to facilitate communication.
- Maintain office cleanliness and organization and order necessary supplies.
Skills
- Proficient in computer literacy with a strong command of Google Suite applications.
- Excellent organizational skills with a keen eye for detail.
- Strong proofreading abilities to ensure high-quality documentation.
- Experience in providing executive administrative support in a fast-paced environment.
- Ability to manage calendar schedules effectively to optimize time management.
- Competent in data entry with a focus on accuracy and efficiency.
- Proven project coordination skills with the ability to prioritize tasks effectively.
- Familiarity with file management systems to maintain organized records.

Job Types: Full-time, Part-time
Pay: $56,430.26 - $67,959.02 per year
Expected hours: 20 – 40 per week
